The Pembroke & Area Airport ("CYTA") is operated by the Pembroke & Area Airport Commission (the "Commission", "we", "us", or "our"), a municipal body owned by six area municipalities. As a municipal institution, the Commission collects, uses, and discloses personal information in accordance with Ontario's Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), R.S.O. 1990, c. M.56. This Privacy Policy explains what personal information we collect through this website, the legal authority and purposes for collecting it, how it is protected, and your rights to access and correct it under MFIPPA.
Notice of Collection (MFIPPA)
Personal information collected through this website is collected under the authority of, and used in accordance with, the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA). Under section 28(2) of the Act, this collection is necessary for the proper administration of a lawfully authorized activity — namely, responding to enquiries and communications relating to the Commission's operation of the Pembroke & Area Airport. We collect: • through the contact form — your name, email address, telephone number (optional), subject (optional), and message; and • through newsletter sign-up — your email address and, optionally, your name. This information is used only to respond to your enquiry, to provide the airport newsletter and updates you have asked to receive, and for the administration and security of the website. Information We Collect
The only personal information we collect is the information you choose to give us through the contact form or the newsletter sign-up, as described in the Notice of Collection above. We do not use analytics or tracking to collect information about your visit. Our cloud hosting provider may keep standard technical server logs (such as IP addresses and request times) for the security and reliable operation of the website; where these logs can identify an individual, we treat them as personal information under MFIPPA and keep them only as long as needed for security and operational purposes.
How We Use Your Information
We use the information you provide to: • respond to your enquiries and provide the information or services you request; • send you the airport newsletter and updates, where you have asked to receive them; and • operate, maintain, and secure the website. We do not sell your personal information, and we do not use it for purposes unrelated to those described here or in the Notice of Collection.
Newsletter and Email (CASL)
We send newsletters and airport updates only to people who have given express opt-in consent through our sign-up form, in keeping with Canada's Anti-Spam Legislation (CASL). Every email we send identifies the Pembroke & Area Airport and the Commission on whose behalf it is sent, includes our mailing address (176 Len Hopkins Drive, Pembroke, Ontario K8A 6W7), and provides a way to unsubscribe. You may withdraw your consent at any time by using the unsubscribe option in our emails or by contacting us using the details below. We will process unsubscribe requests without delay and no later than 10 business days.
Cookies and Tracking
This public website does not use cookies, web beacons, analytics, or other tracking technologies to monitor visitors, and it does not embed third-party advertising or analytics scripts. The only browser storage used is first-party functional storage required by our staff content-management login and to remember basic display preferences; this storage does not track you or send information to third parties.
Sharing and Disclosure
We use and disclose personal information only for the purpose for which it was collected, a consistent purpose, or as otherwise permitted or required under MFIPPA (sections 31 and 32). On that basis, we may disclose personal information: • to service providers (such as our cloud hosting and email providers) who act on our behalf and may use it only to provide those services; • where required or authorized by law; or • to protect the health or safety of an individual. We do not sell your personal information.
Data Retention
We retain personal information only as long as necessary for the purpose for which it was collected and in accordance with the Commission's records-retention requirements. Where personal information has been used to make a decision that directly affects you, we retain it for at least one year after use (as required by Regulation 823 under MFIPPA) so that you may access it, unless you consent to earlier disposal. Newsletter subscription information is retained until you unsubscribe.
Security
In accordance with our obligations under MFIPPA, we take reasonable administrative, technical, and physical measures to protect personal information against theft, loss, and unauthorized access, use, or disclosure. No method of transmission over the Internet is completely secure, however, and we cannot guarantee absolute security.
Access and Correction (MFIPPA)
Under MFIPPA you have the right to request access to records held by the Commission, including your own personal information, and to request correction of your personal information. To request access, you may submit a formal Freedom of Information (FOI) request to our records contact below. A $5 application fee applies to general FOI requests (additional fees may apply for search, copying, or preparation). We will normally respond within 30 days. There is no fee to request a correction of your own personal information. If we are unable to make a correction you have requested, you may require that a statement of disagreement be attached to your information. If you are not satisfied with our response, you may appeal to the Information and Privacy Commissioner of Ontario (IPC) within 30 days. The IPC can be reached at ipc.on.ca.
